Renewal season: how to prepare your Software contracts for 2027

The fourth quarter is budget time. Those who map out their renewals for 2027 now negotiate from a position of clarity instead of under time pressure.

Budgets for the coming year are set in the fourth quarter. At the same time, many Software contracts expire or automatically renew on January 1. Those who don't check now often end up paying more than necessary in 2027.

Why the fourth quarter matters

Software vendors like to close their fiscal year or quarter with as many renewals as possible. That gives you leverage, but only if you’re at the table on time. Finding out in December that a contract is renewing leaves you no alternative and thus no negotiation position.

Five steps for proper preparation

1. Make a list of all renewals in the next twelve months. Note each contract’s end date, notice period, and internal owner. This overview is often missing especially for smaller Software vendors.

2. Compare licenses with actual usage. Licenses for employees who have left or tools that are barely used are the quickest savings.

3. Map out price increases. Many contracts include annual indexation. Additionally, large Software vendors raise their list prices; Microsoft, for example, did so on July 1, 2026, for Microsoft 365.

4. Determine strategy per contract. Renew under better terms, downscale, consolidate, or switch. Start with contracts that have the most value or risk.

5. Start three to six months before the end date. This gives you time to price alternatives and move the Software vendor.

Common mistakes

  • Only looking at the big contracts while surprises lurk in the long tail.

  • Missing the notice period, causing a contract to silently roll over for a year.

  • Signing a renewal without knowing what comparable organizations pay.

Frequently Asked Questions

The most asked questions about this topic.

When should I start preparing for a renewal?

Ideally three to six months before the end date. That gives you enough time to analyze usage, price alternatives, and negotiate.

What if the notice period has already passed?

Often there is still room, for example regarding the number of licenses, contract duration, or terms for the following year. Have the contract reviewed before paying the invoice.
